    WANTED: Small Business Accounting software + advice

    Hi HUKD members and staff. I'm after something a little different to what's usually posted.

    I'm starting a small business and will need some accounting software.. I'm familiar with software back in Australia but wanted to know what other small businesses use here in the UK.

    Either after a free solution or paid software. Thanks in advance.

    I did try to post earlier but for some reason it was removed (or was it my iphone app?)

    Anyway, just thought i'd give my views on possible accounting s/ware you would use. Most 50+ accountants would recommended Sage, they grew up with it and don't know how to use (I know this is a major generalisation but every "older" accountant i've ever met - i've met 100's in various gatherings & meetings - were brought up with ETB's then swiftly moved onto Sage and its archaic entry & accounting system!) any other s/ware. If your accountant is one of these closet sage supporters then i would recommend Sage Instant Accounting which is sub £100 - its not a bad piece of s/ware for a very basic business.

    However if you want something that is good & easy to use, i would recommend TasBooks 1. Its a simple piece of s.ware and they offer a free trial period where you can use it & then decide for yourself if its any good. MYOB was by far & away the best accounting s/ware for small business but they decided they didn't like the UK and left us (sorry sold out!).

    My personal preference for a small business would be to use Excel and avoid using costly & sometimes not needed accounting s/ware. Excel or Lotus are just as good as each other or even use Microsoft Works, open office & create a very basic s/sheet to do your ins/outs.

    With most accounting s/ware if your business grows the accounting s/ware does too, TasBooks & Sage both do this (sage bought out Tas a number of years ago - in-case anyone thinks i'm anti-sage!). But for a very small business a s/sheet is the best solution (even for VAT returns). If however you need to keep track of customers & suppliers then TasBooks 1 is ideal or even VT.

    QuickBooks is too bloated & expensive to be any good, a number of people have used it in the past - that i am aware of - and didn't like the "feel" of the sware. It's very pretty but there is not much substance compared with the other s/ware products listed above.

    Another choice you have is to get the free s/ware that the banks provide small business. these are basic cash systems, ie monies in/out. If you decide to go this route then a s/sheet system would be better - that is if the s/ware provided by the banks is a cash system only

    The MOST important aspect is that you must speak to your accountant 1st. Find out what they feel is best suited for you - remember it is they who will chg you an accounts fee at the end of the year, if they don't know the s/ware then who do you think they will chg the learning costs too? - also they will get your reg'd with the Inland Revenue (or now known as HMRC) - this must be done within 3 months of trading to avoid the £100 penalty - and to inform you which type of entity is best suited for your business (ie Limited company, p'tship or sole trader). Pls seek out professional advice 1st with your accountants then decide from there what type of entity you want to be then decide upon the s/ware. Some s/ware is not suitable for 1 type of entity or the other (Tas will cover all of them but seek out advice 1st).

    Just a quick note been on the Tas Books website & they offer a basic version which seems ideal for a small business and this is 100% FREE (no restrictions), it is basic but can prepare vat rtn's, bank reconciliations, chk customers (monies owing) - even print off statements for you and for the grand sum of £0.00 and the fact that in the past Tas Books data files could be exported to the next Tas product with ease by the support staff (if your business grows) it does a very good option:

    I would recommend MYOB for the MAC, yes as i've mentioned above they have stopped support for the s/ware but there are a number of online help forums dedicated to MYOB plus it is very simple to use. They stopped support in 2009 and went back to Oz. Shame as it was an excellent piece of s/ware

    But the company that took over support for MYOB mamut will shortly be releasing their own accounts package see:

    Another option which appears in the mac mag's regularly which is highly rated in various reviews is:

    Quickbooks is available on the MAC but as i've mentioned above it is too bloated & not as good as its competitors but for the Mac that is limited. So it may be your only choice/option.

    I would download any trial versions & try before you buy. But spk to your accountant also who may be able to shed some more light on this matter.

    thanks you for taking the time to reply. I've downloaded the Quickbooks free version and having issues installing it... I'll try this Tax Books.. Just to let you know what I need will be the ability to reconcile bank accounts as well as a commercial credit card. Invoicing would be a plus.

    With installing some s/ware you may need to close off your anti-virus or firewall packages just long enough to let the program install. Make sure of-course you don't have the pc connected online at the time.

    I've recommended TAS Book-keeper as it was originally to quite a few clients and i've even gone onsite to teach them how to use, within a few hours they're able to use the s/ware quite proficiently! So it is easy to get acquainted with. With the credit card create it as a "bank ac" and therefore it makes your life so much easier with reconciling it! I've noticed some of my clients still show it as a creditor but for reconciliation purposes you should always set it up as a bank a/c (main reason being the ease of it being done this way). Yes it can be created as a creditor/supplier but then a number of "basic" accounting s/ware doesn't allow these a/c's to be reconciled (in the same way) as the bank a/c.

    Another piece of s/ware you may want to try is VT:

    Again I currently use this s/ware for some of my clients who want a cashbook. It's free and if your accountant uses VT (there are 1000's of us who do) then they can import the information directly into their s/ware with ease. The s/ware is extremely easy to use & better still it is FREE!

    Hope you have some luck with the accounting s/ware but pls do spk to your accountant beforehand and get advice from him directly. He should not charge for this advice

    thanks again.. looked into TAS but I'm also needing something with a balance sheet.

    The business is well in the red and i've pumped a couple of grand (launching next month) into it by depositing funds into the company bank account then paying out the expenses. I need to be able to show capital contributions through balance sheets, bank accounts,etc.

    Tasbooks 1 or now known as firstbooks seems to offer a full nominal, which would mean it includes the balance sheet. You can download it from their site but it is £100. You can call them on 0800 694 0220 to get confirmation before you buy. If you shop online you will probably be able to get it cheaper

    pls note tas is owned by sage but it is run seperately so at least you know it's going to be around for yrs

    however I would (if you want something cheaper & it's for smbe (small business)) and you are ok with doing accounting via a pc (or you have a good accountant) get tas book-keeper via eBay. Tas probably won't support it now as it's so old. But it does the job well and is a breeze to use. Tas books 1 has a lot more depth but you would need to be ok with dr's and cr's

    first off gimp spk to your accountant that's what he's paid to do, advise!

    If you can't get hold of a copy of tas b'keeper then spk to Tas and ask them exactly what elements are included in first books. Tasbooks1 that I mentioned in the post above is again an old version and it's like the new Tasbooks. So tas b'keeper now seems to have been ported over to first books. I have owned b'keeper for yrs and it is simple to use. But call 1st and I feel for you either b'keeper or firstbooks will be perfect plus it will do your invoicing also

    Again, thanks very much for your ever so fast response. I've looked at Tasbooks 1 and looks like this is what i'm after. I used to work in an accounting firm many moons ago so i'm ok with debits and credits (used to use MYOB).. i found tasbooks 1 on fleabay for £40 so i've made an offer ...see how i get on.
